5 Proven Strategies for Insurance Agent Recruiting That Actually Work

By Matt McCray•October 22, 2025

I’ve tried a lot over the years—some wins, some face-plants. Below are the five strategies that consistently bring real conversations with licensed agents. Use one, or stack them for compounding results.

1) Cold Email — The Scalable Power Move

Cold email is my go-to. It’s personal, fast to test, and easy to scale. Text-only works best. No images. No links (until someone asks). And no open tracking —that pixel can hurt deliverability and doesn’t measure conversations anyway.

Real Campaign Snapshot (text-only, no opens tracked)

Metric Result Notes
Total Contacts 29,888 Licensed agents targeted
Contacted So Far 1,964 Campaign in progress
Emails Sent 3,648 Text-only, no tracking pixel
Replies 100 (≈ 5.09%) Real conversations
Interested (Booked Calls) 26 (≈ 26.00% of replies) Calendar invites

Why This Matters

About 1 in 4 replies turns into a booked call. Keep sending, keep following up, and the pipeline fills itself.

Simple Flow (Funnel)

  1. Send 3,648 emails
  2. 100 reply
  3. 26 book calls
  4. Hires

Quick Tips

  • Write like a human: “Is it ok if I send you a few details?”
  • Keep it to 4–6 lines. One clear ask.
  • Follow up 2–3 times. Short and friendly.

2) Cold Calling — Still Alive and Kicking

Some weeks, a 60-second call outperforms 10 emails. A real voice builds trust fast.

How I Do It

  • Call 8–11am local time for best connect rates.
  • Start soft: “Hey [Name], quick call—I’m expanding my team in [State]. Do you have a minute?”
  • Goal = conversation, not a full pitch.
  • Call people who replied or saw your messages but didn’t book—you’ll sound familiar.

Simple Starter Script

“Hey [Name], Matt here. I’m growing an insurance team in [State] and saw you’re licensed. Open to a quick overview to see if it’s a fit? I can send details or book a call—what’s easier?”

Weekly target: 25–50 focused dials. Consistency beats hero days.

3) Direct Mail — Old School That Still Works

Everyone’s inbox is crowded. The mailbox? Not so much. A short, personal letter can cut through.

What to Send

  • 1-page letter in a plain #10 envelope.
  • Quick story + why agents like your model.
  • Short link or QR to book a call.
Mailing Size Response Rate Cost per Response
500 2.0–2.5% ~$10–12
1,000 2.5–3.0% ~$9–10

Pro tip: Send mail to warm folks first (people who replied but didn’t book). It feels personal, not random.

4) LinkedIn — The Professional Goldmine

LinkedIn is where licensed pros hang out. It’s perfect for starting real conversations, not blasting job ads.

Weekly Rhythm

  • Profile dialed in: headline = how you help agents win.
  • 20–40 quality connection requests/day.
  • 1–2 short posts/week (wins, team culture, agent success).
  • Sales Navigator filters: license, state, years of experience.

What I’ve Learned

  • Short connection note wins: “Hey [Name], I work with licensed agents in [State]. Fine to connect?”
  • Start with a hello, not a pitch. Ask permission before you send details.
  • Post simple proof: “Booked 26 agent calls this week—text only, no links.” People notice.

5) Other Social — Warm Up the Brand

Facebook Groups, Instagram Reels, even TikTok can support recruiting. I don’t rely on them to close, but they keep you visible.

What to Share

  • 15–30 sec vertical clips: “Who we’re looking for this month.”
  • Agent wins: income bumps, training support, systems.
  • Behind-the-scenes: team calls, community, recognition.

Purpose: social warms the relationship. Email and calls book the meeting.

Quick Comparison (What to Use When)

Channel Reach Speed to Conversation Best Use
Cold Email High Fast Scalable first touch
Cold Call Medium Fastest Book conversations
Direct Mail Low Medium Stand-out follow-up
LinkedIn Medium Medium Relationship + proof
Other Social Medium Slow Awareness + brand trust

My Simple Weekly Plan (Steal This)

  • Mon–Fri: 70 actions/day (emails + LinkedIn + follow-ups)
  • Calls: 25–50 focused dials/week
  • Direct Mail: 100–200 letters/month to warm leads
  • Content: 1 short LinkedIn post/week (proof > hype)

Small, boring actions → big, compounding wins. When I chased “clever,” I stalled. When I kept it simple, numbers moved.

FAQ

How many emails should I send per week?

Start with 300–500 text-only emails/week. Scale as replies stay manageable.

Do I need fancy templates or HTML?

No. Plain text wins. Write like a person. And keep open tracking OFF.

How long until I see results?

Usually 2–4 weeks of steady sending. Replies first, then booked calls.

Should I use all five channels right away?

No. Start with cold email + LinkedIn. Once steady, layer in calls, then direct mail, then social.

What do I say when someone replies “maybe”?

Keep it light: “No problem. Want a 2-minute overview, or should I send a 3-bullet summary?”

Action Steps (This Week)

  1. Write 1 text-only email. 4–6 lines. One ask.
  2. Send 300–500 to licensed agents in one state.
  3. Follow up twice (short, friendly).
  4. Make 25–50 calls to repliers and prior contacts.
  5. Post one short proof update on LinkedIn.

You’ve got this—keep it simple, keep it human, and the calls will come.
